Naming List Finder

Search a booking ID or PNR to open the naming list sheet, the naming list ticket and the HubSpot deal.

Naming List Finder

The Naming List Finder shows you which supplier naming list a booking is on, and takes you straight to it. Type a booking ID or PNR and you get the naming list sheet, the naming list ticket in HubSpot and the booking's HubSpot deal, all in one place.

It's for Flights, Customer Service and MNL Ops. Use it whenever you need the right list quickly, for example to add a schedule change or new flights, to answer a customer's question about their tour, or to check what the supplier has been sent.

Open the Finder

Open the Naming List Finder

Sign in with your Inspiring Vacations Google account when it asks. The link only works for company staff, so please don't share it outside IV.

Tip: you can open the Finder straight on a booking by adding # and the booking ID to the end of the link, for example …08da0#1234567. It works with a PNR too.

Search

  • Type a 7-digit booking ID or a 6-character PNR. Results show as you type.
  • Part of a number works too. 4 or more digits of a booking ID, or 3 or more characters of a PNR, shows up to 20 matches.
  • One PNR can cover more than one booking (couples often share one), so a PNR search can show several bookings.
  • Clear empties the search.
  • There's no name search, and no names are shown. This is on purpose, to keep passenger details out of the tool.

Reading a result

Each booking gets a card. The top line shows the booking ID, when it departs (or departed), its PNRs and how many naming lists it's on. Open HubSpot deal takes you to the booking's deal.

Under that is one row per naming list the booking is on. A booking can be on two lists, for example Egypt and Jordan, or a tour with an extension. Each row shows:

  • the tour name, route date, sheet tab name and supplier;
  • the list's status (see below);
  • Open naming list, which opens the right tab of the naming list sheet;
  • Open NL ticket, which opens the naming list ticket in HubSpot.

Statuses

Status What it means
Due to supplier (date) The list hasn't been sent yet. It's due to go to the supplier by that date.
Not marked as sent The list was due but isn't marked as sent. Check with Operations.
Preliminary list sent A preliminary list has gone to the supplier. The final one follows closer to departure.
Sent to supplier The list has gone to the supplier.
Confirmed by supplier The supplier has confirmed the list.
Tour departed The tour has left. The links stay for reference (see below).
Not on a naming list This booking's route doesn't go on a naming list, for example private tours, stopovers, FIT, third-party bookings (such as Rovos Rail) or cruise extras. The card names the route.

Notes you might see

  • "The naming list ticket doesn't have the sheet link yet": open the ticket to find the sheet.
  • "This list hasn't been made yet": the booking will be on it once it goes to the supplier.
  • "No sheet link was recorded for this list": an older list. Open the ticket to find the sheet.
  • "Naming list sheets are deleted about 6 months after travel, for security": the sheet is gone. Use the naming list ticket, or check the booking in Perseus.
  • "If this one won't open, it has been deleted": the sheet is due for deletion, so the link may no longer work. Use the ticket or Perseus instead.

What's covered

  • Upcoming bookings: active bookings with a tour route starting in the next 100 days.
  • Departed bookings: bookings that departed from 1 January 2026. Each one stays in the Finder for 12 months after departure.
  • Cancelled bookings aren't shown.
  • Refreshed every weekday morning. A booking made today shows up the next weekday morning. "How current" at the bottom of the page says when the data is from.

Opening links

The Finder doesn't give you access to anything. Opening a naming list sheet or a HubSpot ticket still needs your own access to it. If a recent sheet won't open, request access, or ask Operations.

Can't find a booking?

  • Check the number. Booking IDs are 7 digits and PNRs are 6 characters.
  • The booking may be cancelled, may have departed before 1 January 2026 or more than 12 months ago, or may depart more than 100 days from now.
  • If it was made today, it'll be there after the next morning refresh.
Something wrong?

If a booking points to the wrong list, or a link doesn't open when it should, send the booking ID to Josh McKie in Operations.

Good to know

  • Why is a booking on two lists? Some trips travel on two routes that each have their own list, such as Egypt + Jordan or a tour + extension. Both show.
  • Why no passenger names? The Finder works from booking IDs and PNRs only, so no personal details sit in the tool.
  • Is this its permanent home? No. It's an early version while we build a proper Ops app. When the Finder moves there, the link changes and this article will be updated.
